Gateway Healthcare is responsible for the delivery of health services to over 10,000 people in the community.

This position provides administrative day-to-day support to 9 Family Doctors, 3 Licensed Practical Nurses, several Locum Doctors, Resident Doctors and an Endocrinologist. As the first point of contact with patients and their families, you will provide a key role in ensuring a safe and welcoming environment for all individuals through a positive, customer service-oriented and client-focused approach.

The ideal candidate performs duties such as phone reception, interacting directly with clients who may have highly complex medical and social needs, registering and booking new clients’ appointments, establishing and maintaining charts, typing material utilizing word processing software, processing doctors’ orders, reports & records and operating other office equipment as required.

Responsibilities:

  • Registering new patients
  • Booking appointments
  • Answering/directing incoming calls – reception/staff – multiline switchboard
  • Taking messages
  • Answering routine inquiries
  • Receiving visitors

Contacts other hospitals/organizations to obtain information as required.

May include following up on Physician and LPN orders regarding referrals and diagnostic tests, interdisciplinary team members orders, provides administrative duties, and maintaining registers utilizing various software and systems.

Processes outgoing mail, faxes, patient records; receiving, recording, date stamping, sorting and distributing faxes/paperwork to appropriate personnel and preparing outgoing mail for pickup or mailing as required. Processes financial information such invoicing using a computerized system, preparing invoices and receipts and preparing payments. Closing medical clinic on a scheduled day/weekly basis. Performs other related duties as assigned.

Qualifications Education and Experience:

  • Grade 12
  • Medical Office Assistant Diploma
  • 1 – year of recent related office/clerical experience or an equivalent combination of education training and experience.
  • Successful reference checks
  • May be asked to have a Criminal Records Check (current)

Skill Requirement:

  • Ability to type 40 WPM
  • Working knowledge of Electronic Medical Record (EMR – preferably Profile)
  • Ability to communicate effectively
  • Ability to work effectively with the multi-disciplinary team
  • Effective interpersonal skills
  • Effective conflict resolution skills
  • Ability to exercise sound judgement
  • Ability to prioritize workload
  • Ability to take initiative, self-starter

  • Physical ability to perform the duties of the position

  • 8-hour shift
  • Day shift
  • Monday to Friday
